SOLSMail

What is SOLSMail?

SOLSMail is an official and primary method for the University to communicate important academic and administrative messages directly and securely with students at UOW.

All students of UOW have access to SOLSMail via the Student OnLine Services System (SOLS) and are expected to access their SOLS account regularly (at least once a week).

At present:

  • a single email notification will be sent to students if they have not logged into SOLS within 24 hours of a SOLSMail message being sent.
  • SOLSMail messages appear when students login to SOLS in the SOLS Home page 'SOLSMail table'.
  • If a student does not read a message for 7 days since it was sent, the SOLSMail message will become a 'Pop Up' message that the student MUST read before entering SOLS Home page.

Bulk SOLSMail requests

Bulk SOLSMail message requests can be made by contacting the Student Communications Coordinator (Email: current-student-communications@uow.edu.au)
Student numbers should be provided by staff requesting the bulk SOLSMail messages to be sent.   

 

Is your message appropriate?

SOLSMail messages should only be used for communicating critical information including:

Administrative matters To communicate administrative matters relating to a students' enrolment.

  • Graduation
  • Exams
  • IT updates and outages
Course and subject information To communicate information relating to a course or subject.
  • Critical course and subject matters
  • Changes to assignments
  • Policy updates
Classroom changes To communicate a classroom change or to advise of a cancelled class.
  • Class cancellations
  • Classroom changes
Faculty information To communicate Faculty related information of an essential nature (not including Faculty advertising of opt-in style events).
  • Changes to curriculum
  • Timetable information
Security To communicate important security and emergency information.
  • Security alerts
  • Emergencies
  • Incidents affecting individual and groups of students (e.g. natural disasters, transport notices, economic and political notices)
Other  
  • University elections (e.g. Acadeimc Senate, University Council, WUSA, WUPA)
  • Key University studies (e.g. Student Experience Survey, International Student Barometer, Enrolment & Orientation Survey)

SOLSmail is not intended as a vehicle to promote content including general advertising, opt-in events or activities.

 

Privacy and data management

All staff accessing the student systems are reminded of their responsibility to comply with UOW’s Privacy Policy and IT Acceptable Use Policy.

You must not access, use, disclose, reproduce or deal with any confidential or personal information except where it relates to a legitimate business function which is specific to your role at UOW.

You must use your best endeavours to prevent unauthorised disclosure of any confidential or personal information to any person or body.

All UOW Data should be stored on UOW Approved devices or storage solutions in line with UOW's IT Acceptable Use Policy.
