Business Travel InsuranceIt is important to advise Finance & Insurance Officer, Financial Services on (02) 4221 5236, of any claim notification or of a situation that may give rise to a possible claim as soon as possible. The University currently maintains a travel insurance policy. This policy provides cover whilst overseas on authorised University business. It is up to the individual who is travelling to read the Product Disclosure Statement (PDS), Policy Wording and Policy Schedule. The PDS explains the Duty of Disclosure while the Policy Wording & Policy Schedule explain what is and is not covered, the sums insured and the excess days or amounts as well as the General Conditions Under the Policy such as the requirements that must be satisfied in making a claim under the Policy. AM I COVERED UNDER THE UNIVERSITYS BUSINESS TRAVEL POLICY? You must be undertaking Approved University Business Travel and you must fall into one of the Insured Persons Categories as outlined in the Schedule. Back to FAQ List WHAT IF I AM TAKING MY FAMILY ON MY TRIP? Please refer to the Insured Persons Categories in the Schedule. If you fall within Category A, accompanying spouses/partners & dependant children will be covered only whilst on Authorised Business Travel. If you fall within Category B, employees and accompanying spouses/partners and dependent children, will be covered but only on overseas trips. It is your responsibility to obtain additional cover for any other persons who will be travelling with you If you do not fall within Categories A or B in the Schedule. Back to FAQ List HOW DO I ARRANGE INSURANCE COVER? If you qualify to be covered under the University's Business Travel Insurance i.e. you fall within Category A, B, C, D or E all persons travelling are required to complete a Travel Absence Form. http://staff.uow.edu.au/personnel/forms/all_travel_absence.html Employees, Council Members and Honorary Employees are also required to complete a Travel Absence form. If you are a student please have this form signed by Head of Department and kept within the Faculty as proof of authorised travel. Back to FAQ List HOW LONG AM I COVERED FOR? You will be covered under the University's Business Travel Insurance Policy for a maximum of 180 days of your trip. Back to FAQ List WHAT IF MY TRIP EXCEEDS 180 DAYS? If you are going to be travelling for more than 180 days, it is your responsibility to arrange and pay for additional coverage. Back to FAQ List AM I COVERED FOR PERSONAL TRAVEL WHILE I AM OVERSEAS? You are covered by the University for any Associated Private Travel (as defined in the ACE Policy Wording). However, this private travel cannot make up more than 60% of your entire trip away. Voluntary workers are not covered for any private travel associated with their Approved University Business Travel. Back to FAQ List HOW CAN I ARRANGE ADDITIONAL INSURANCE? If you choose to extend your stay it is your responsibility to arrange and pay for the additional insurance coverage beyond the approved 180 days already provided by the University's Business Travel Policy. Please note that any additional cover organised is not an extension of the University's policy but rather a new policy for the extended period only. ARE MY PERSONAL BELONGINGS COVERED? Baggage and Business Property are covered for an amount up to $10,000, whilst Electronic Equipment is covered for an amount up to $8,000. Electronic Items will attract an excess of $250, whilst all other items will attract an excess of $100. This cover is provided in accordance with the terms and conditions of Section 7 of the ACE Policy Wording. Personal effects must fall under the definition of baggage under the ACE Travel Policy and travel with the insured person in order to be covered. There is a maximum limit of $2,500 for any one item and that cover only applies if recovery cannot be made from any other source. Back to FAQ List IS THERE A 24HR EMERGENCY ASSISTANCE NUMBER? Yes, you can obtain this card from reception at Personnel and Financial Services before you leave. We strongly encourage you to call the emergency number (+61 2 9929 2210) in all instances. For example, if some of your baggage is stolen or you fall ill, calling the assistance number may help support the validity of your subsequently lodged claim. You are advised to contact ACE Assistance at the time of the incident to seek advice and to help support the validity of any subsequent claim. You will need to: 1. Complete the "Business Travel Insurance" claim form 2. Attach supporting documentation i.e. receipts, quotes, police reports 3.
