Final Marks Screen

These screens are used to enter or adjust composite (i.e. final) marks and, where applicable, to allocate discretionary grades (e.g. WH, TF, PR, PC, IPC etc.). Marks and grades cannot be entered if the class has been published - If the class has been published to Unit Level, the Unit head can return the class to the lecturer if required.. A warning message will appear in red at the top of the screen to advise the user that the class is published.

Student Status Colour Legend The row of information in the tables shown for each student may have a different colour from the background, depending on student status1

 

 

Note on Withdrawn Students

Marks can be entered for Students who have a status of Withdrawn or Removed. The Show/Hide withdrawn icon now appears on the Final Marks screen.

Sorting class rolls

The class roll can be sorted by Std Nbr, Family name, Course, Sort, Groups,Composite%, Grade or Info fields by clicking on the appropriate column heading.

Entering or Accepting Composite Marks

There are three methods to enter marks into the "Final Marks" screen. These are:

1. Clicking Copy Composite on the "Task Marks" screen to copy the derived composite mark based on marks given for the various tasks (See Task Marks -Entering Marks) and the weightings allocated (See Define Tasks-Weightings).

2. Enter the final composite marks directly into the "Final Marks" screen. Simply click the mouse on the appropriate box in the "Composite %" column for the student whose mark is to be entered and type the mark.

3. Import the marks from an external file (see Importing Final Marks from spreadsheets).

Adjusting Composite Marks

In some cases the composite mark may be adjusted from the existing value according to standard procedures (e.g. if a student has lodged a Special Consideration). Highlight the composite mark using the mouse, then type the new mark.

NOTE: This only changes the composite mark on the "Final Marks" screen. The calculated composite mark which is displayed on "Task Marks" screen is not affected. If you click on "Copy Composite" in the Task Marks screen after making changes to marks in the Final Marks screen, the changes will be overwritten.

Saving Composite Marks

When editing or directly entering Composite %marks in the Final Marks screen for large classes, you need to save regularly by clicking Save at the top of the table.

Grading Marks - Standard

Composite marks calculated from Task marks will be automatically graded when Copy Composite is selected in Task Marks screen . Make any necessary changes to the composite marks (see above), then click Grade to continue the grading process. All modified marks will now be allocated a new grade (HD, D, C etc.). When marks are finalised they can be Published to the next level of review (First published to Unit, then Unit Head publishes to ARD).. To return to editing marks after grading, click the Edit button. Marks ranging from 45-49% (in some cases) or where no mark is shown cannot be automatically graded - refer to Grading Marks - Discretionary below.

If the mark is invalid (i.e. < 0% or >100%) the whole row will change colour to indicate an invalid mark (refer to Status Legend for details).

Grading Marks - Discretionary

For blank marks, and certain mark ranges, a number of grading options are available which the subject lecturer must select from. If a student has a mark but a grade has not been selected, the student will be marked as "Invalid Entry" (ref Student Status Colour Legend) until a selection is made. Refer to Grade Options for more information about grading rules and definitions. Before moving on to the next subject, ensure that you save the grades you have selected by pressing the "Save" button at the top of the grade column.

Display Student Information

Clicking on the family name of an individual student will bring up a new window showing the address details, enrolment history, academic transcript and specified and unspecified credit (advanced standing) for that student. This information can be printed if required, by using the "print" command from the File menu in the Enrolment Record window.

Printing

Clicking Preview in the "Final Marks" screen will display a new window showing the class listing as it will be printed. Use the File menu "Print" command in the print preview window to obtain a hard copy of the class listing. After the print is complete, use the File menu "Quit" command in the print preview window to close the window.

Exporting the Class Roll and Marks

Clicking Export will allow you to save a copy of the class roll, and any marks that are entered for the current class as a file suitable for viewing by spreadsheet applications such as Microsoft Excel. The file is saved as a "Tab delimited" text file (.tdf). You will see a small popup window asking you what to do with the file as the browser will not recognise the format. The steps vary depending on the browser used. Follow the instructions below and refer to your browser's helpfile for further instructions if required.

Netscape

Netscape will display a window with the words "You have chosen to download a file of type unknown" and four buttons. Press "Save File". You will then see a normal "File Save As..." window. Select the drive and directory/folder you want to save the file in, then double click in the filename box and change the name from export.tdf to a name which suits you, ending with .tdf to indicate that the file is a "Tab Delimited Format" file. For example, a typical name would be BIOL123.tdf. It should now be possible to open the file in Excel (See below).

Internet Explorer

IE will display a window with the warning "You have chosen to download a file from this location ...." and two radio buttons. Select the "Save this file to disk" option. You will then see a normal "File Save As..." window. Select the drive and directory/folder you want to save the file in, then double click in the filename box and change the name from export.tdf to a name which suits you, ending with .tdf to indicate that the file is a "Tab Delimited Format" file. For example, a typical name would be BIOL123.tdf. It should now be possible to open the file in Excel (See below).

Opening Exported Files In Excel

After exporting a class list as a TDF file, the file may be opened in Excel for editing.

To import the file, start Excel then select File-Open from the menu bar. In the Open window, use the Pulldown menu marked "Files of type" and select "All Files (*.*)" to display TDF files as well as the standard Excel files. Choose the file you saved from the Class Management Package and click Open. A Text Import Wizard window will now open - there is no need to adjust any of the default settings, so just press the Finish button. The file will now display as a standard Excel spreadsheet.

The procedure for other spreadsheets programs should be similar-refer to your software documentation and helpfiles for instructions on importing tab delimited text files.

Editing Final Class Marks in Excel.

Once you have opened the class marks file in your spreadsheet (see above), you should only edit the file as described here. The only columns which should be edited are MARK and GRADE. Changing any other data can cause errors when trying to reimport the file into the Class Management Package.

MARK is the final composite mark which must be in the range 0-100. The grade will be automatically determined where possible when the file is imported back into the Class Management Package. The import routine can only allocate grades where there is no ambiguity according to the standard grading rules. If the grade cannot be allocated automatically, for example if a student's MARK is between 45% and 50% for an undergraduate subject, then the grade can be specified in one of two ways. The desired grade can be entered into the GRADE column in Excel using the "Grade Option" code specified in the standard grading rules, or the grade can be selected in the Final Marks screen after the file has been imported into the Class Management Package.

If the MARK and GRADE fields are left blank, a Grade will need to be selected in the Final Marks screen after the file has been imported into the Class Management Package.

If an invalid entry is made in the GRADE column (e.g. HD for a mark of 82), it will be automatically corrected upon import.

When all changes have been made, save the file as a TDF file (filename.tdf) by using the Save command in the file menu. Ensure that the file type is tab delimited by selecting "Text (Tab delimited)" in the "Save as type" field.

Importing Final Marks from spreadsheets

Ensure that the file to be imported is the correct file for the class currently being edited, with only the marks and grades changed as described above..

  • Ensure the file is saved in "tab delimited format" file (filename.tdf) as described above.
  • In the Final Marks screen, click Import . A new Import File Selection window will appear on your screen-press the "Browse" button, which will display a typical File Open window.
  • In the "Files of type" box, select "All Files (*.*)" then locate the appropriate directory and file, click on the desired file and then press Open.
  • The directory and filename will now be shown in the box in the Import File Selection window. Click ONCE on the Read File button. For large classes, it may take a few minutes for the whole file to be read - do not press Read File again as it can cause errors in the transfer.
  • When the file has been read, the class will be displayed with with any student warnings displayed at the top with the relevant student rows highlighted in the student table. Note that warnings will highlight any problems which occurred reading a particular student from the file but do not prevent the file from being imported. Most warnings can be corrected once the file has been imported into the Class Management Package.
  • To import the file into the Class Management Package, press "Submit To Database". Again, it is important that "Submit To Database" is only pressed once. For large classes, it may take a few minutes for the whole file to be submitted - do not press "Submit to Database" again as it can cause errors in the transfer. If you do not want to submit the file to the database, press "Choose Another File" to return to the file import window. To correct errors you should return to Excel, Save, then repeat the file import process.
  • After the Submit to Database process is complete, a final window will appear with the message "Import was successfully completed". Press "Close" to finish import procedure or "Import Another File" if you wish to repeat the process for the current class.

Additional Information

The Course Number is provided for each student for reference only. This information is read from the main Student Administraiton database and cannot be edited through the Class Management Package.

The "Info" column is used to highlight other relevant student information as follows:

  • PG: Potential Graduate. Indicates that if this student successfully completes the course components and subjects they are currently undertaking, they will be eligable to graduate.
  • PE: Professional Experience. Indicates that the Professional Experience component of the course has been completed.
  • SC and *SC: Special Consideration. *SC - the special consideration application needs to be actioned, ie The documentation has been verified by ARD and you need to send a reply to the student. SC - The special consideration application does not need to be actioned -The documentation has been verified and the Student has already received a reply.
